Committees & Roles
Join a Committee
The following committees and roles are provided as guidance. Each Board Director has discretion to create new committees or alter existing committees if needed, as long as the Bylaws and Duties are adhered to. Members of all committees are strongly encouraged to write articles for the monthly e-newsletter.
President
- Advisory Committee: This committee operates under the direction of the President. It is comprised of people recruited by the President to act as a sounding board, share professional development topics of interest to their organization, and provide input on past organizational activities that may have a bearing on current or future actions.
- Nominating Committee: This committee operates under the direction of the President-appointed Chair. Each fall it presents the Board with a written slate of nominees for the next year. The committee notifies nominees prior to including them on the slate to ensure their interest and commitment. Every effort must be made to achieve diversity of ethnicity, age, job title, and agency representation. The committee presents recommendations to the Board for approval before any action is taken.
- Scholarship Committee: This committee operates under the direction of the President-appointed Chair. It administers the scholarship program for educational scholarships, Leadership Women program scholarships, and conference scholarships. The committee researches and recommends ideas for scholarship opportunities; designs and revises the scholarship application; announces application deadlines; reviews applications; and recommends scholarship awards to the Board. The committee presents recommendations to the Board for approval before any action is taken.
- Community Service Committee: This committee operates under the direction of the President-appointed Chair. It researches and recommends community service projects for Board approval; develops partnerships with organizations of interest to determine projects for member involvement; coordinates member participation in projects; collects requested items/donations; distributes items/donations to receiving organizations; and tracks the value of donations.
President-Elect
- Strategic Planning Committee: This committee operates under the direction of the President-Elect. It reviews the Strategic Plan annually and proposes additions and deletions to the Board as appropriate. It gathers data on goal attainment and assists the President with creating the Annual Report detailing the organization's status.
Conference Director
The following committees operate under the direction of the Conference Director. The Director oversees all aspects of the conference and works closely with the Conference Committees and the management company to ensure planning and tasks stay on track.
- Conference Exhibits Committee: This committee identifies and secures exhibitors for the conference. The committee completes mailings to potential exhibitors, maintains frequent contact with those interested, plans exhibit layout, and writes post-conference thank you letters or emails.
- Conference Program Committee: This committee develops the conference theme, program, and workshop topics; secures workshop presenters; determines presenter audio/visual needs; secures and trains moderators; assigns workshop rooms; works closely with the Registration and Evaluation Committee to develop workshop presenter bios for the conference program; supplies the final program to the management company for printing; and sends thank you letters or emails to workshop presenters.
- Conference Registration and Evaluation Committee: This committee develops and designs the registration and evaluation forms; purchases participant gifts; prepares conference participant bags; staffs the registration area the day of the conference; and works with the management company to analyze evaluation data and prepare a summary report.
- Networking Reception Committee: This committee develops the theme and obtains the entertainment (speaker/band) for the Sunday night reception. The committee works closely with the management company to arrange the audio/visual needs, reception food/drinks, and entertainment.
- Conference Silent Auction Committee (optional): This committee identifies potential donors and obtains items for the silent auction. The committee prepares the bidding sheets, staffs the silent auction tables on the day of the conference, awards the items to the high bidders, and sends follow-up thank you letters or emails to donors.
Finance Director
- Finance Committee: This committee operates under the direction of the Finance Director and consists of the President, President-Elect, Finance Director, Operations Director, and three other members. The committee is responsible for the preparation of the annual budget and submission of a draft budget to the Board within the first 30 days of the year. The committee reviews the organization’s distributions and deposits of funds and ensures the organization’s books are audited/reviewed annually.
Communications Director
The following committees operate under the direction of the Communications Director.
- Website Committee: Working with the management company, this committee leads website design efforts and determines/manages website content. It coordinates with the Board, committee chairs, and management company to review, edit, and improve website content and design.
- Newsletter Committee: This committee plans, solicits, obtains photos, develops images, and edits/writes content for the monthly e-newsletter. It coordinates with the Board, committee chairs, Executive Success Team leaders, and management company to develop a calendar for article submissions. It also manages advertising and works on the newsletter layout, proofing, and email distribution.
- Social Media Committee: This committee plans, solicits, obtains photos, develops images, edits/writes content, and monitors interactions for all social media outlets. It works closely with the Website and Newsletter Committees. It also coordinates with the Board, committee chairs, Executive Success Team leaders, and management company to develop a message calendar for social media posts and corresponding email blasts.
Membership Director
- Membership Committee: This committee operates under the direction of the Membership Director. It is responsible for member recruitment, retention, involvement, and interaction. The committee develops and implements an annual plan to recruit new members, welcomes new members, and encourages member involvement. This committee coordinates with the Engagement Director and Committee to determine member needs and interests, implement methods to retain members, contact members to encourage renewal, and ensure the growth and health of the organization.
Engagement Director
- Engagement Committee: This committee operates under the direction of the Engagement Director. It is responsible for new member orientation, retiree engagement, and one-on-one member engagement activities. The committee assists existing members in navigating the organization to become more involved and active. This committee coordinates with the Membership Director and Committee to determine member needs and interests and works with the Board and Nominating Committee to help members connect with appropriate committees of interest.
Education Director
- Education Committee: This committee operates under the direction of the Education Director. The committee selects and schedules virtual and in-person educational events, activities, and speakers; corresponds with speakers; and coordinates event logistics.
Professional Development Director
These committees operate under the direction of the Professional Development Director.
- Success Team Committee: This committee oversees the Success Teams (special interest groups) including soliciting leads and participants, tracking activities and number of teams, and planning an annual kickoff event.
- Mentorship Committee: This committee manages the one-on-one mentoring program including creating and maintaining the program, matching mentees with mentors, and supporting matches.
- Peer Mentoring Committee: This committee manages the peer mentoring program including creating and maintaining the program and developing peer mentoring opportunities on topics of interest to the membership.
Affiliates Director
- Affiliates Committee: This committee operates under the direction of the Affiliates Director. It is responsible for working with all affiliate chapters to help strengthen the membership and increase the visibility of the chapters in government and public/private universities and ensure members’ needs are met.
Operations Director
- Operations Committee: This committee operates under the direction of the Operations Director. The committee provides contract oversight/project management assistance; coordinates with the Board to manage updates to policies and procedures; assists the Board with transition activities between terms; and handles secretarial duties as needed.
